How Content Batching Saved My Time, Energy... and Sanity

Updated: May 2

(And how you can use it to finally stop scrambling to post)

Let’s be real: most business owners are juggling way more than one job. Between serving clients, managing projects, and trying to keep up with content… it’s no wonder your marketing keeps ending up at the bottom of the to-do list.

Add in homeschooling two kids, running a household, and a husband who also works from home? That’s my daily reality. (Yes, we’re all home. All the time. And yes - I actually love it.)

But let’s be honest: the only reason my business and brain are still intact?

Content batching.

What Is Content Batching (and Why Should You Care)?

Content batching is the practice of creating content in strategic, focused sessions - rather than trying to squeeze it in day by day. It taps into what brain science calls "task batching" - a productivity technique that limits cognitive switching (aka, the thing that fries your brain every time you bounce from email to Canva to caption writing).

When you batch, your brain gets to stay in flow - which means you work faster, more creatively, and with way less decision fatigue.

My Content Batching System: A Step-by-Step Breakdown

Here’s exactly how I batch my marketing content as a homeschooling, work-from-home business owner with ADHD - and how you can adapt this to your life, even if your setup looks different.

🧠 Step 1: Block the Time (Before It Gets Stolen)

Before anything else, open your calendar and block out your content time like an appointment. Treat it with the same respect you would a client call - because future you needs this.

Even if it’s just 1–2 hours a week, give yourself dedicated space to create.

Pro tip: I like to set themed blocks (Idea Day, Writing Day, Design Day) so my brain knows what to expect.

Neuromarketing insight: Your brain thrives on clarity and momentum. Having a plan reduces decision fatigue and keeps you moving forward.

✍️ Step 2: Use ChatGPT Strategically (Not Generically)

Yes, I use AI to help me brainstorm - but here’s the catch: you’ve got to be specific.

Generic prompts = generic content. If you just ask “Give me Instagram content ideas,” you’ll get the same vague fluff Pinterest is full of.

Instead, feed ChatGPT real data:

  • Who your audience is

  • What you offer

  • What’s already working (or not working) in your content

  • Your goals (brand awareness, sales, engagement, etc.)

This is where strategy meets efficiency. When used right, AI can give you a month’s worth of smart, aligned ideas in minutes.

📅 Step 3: Write All Your Captions, Blogs, and Emails

Once you have your ideas, batch your writing. This is your deep-focus zone - no designing, no switching tabs, no distractions.

I write:

  • All Instagram/Facebook captions

  • Blog posts (usually 1–2 per month)

  • Email newsletters (for Thursday tips + Sunday reset)

Psychology tip: Writing in flow keeps your tone consistent and your messaging tighter - great for building trust with your audience.

🎨 Step 4: Design All Your Visuals in Canva

Now that your copy is ready, it’s design time. I batch my visuals right after writing because the concepts are still fresh in my head.

I use Canva to create:

  • Pinterest graphics

  • Instagram carousels or static posts

  • Email headers or promo graphics

  • Reels covers or TikTok captions

You don’t need a new design for every post - just a few templates you can reuse and tweak. It keeps your brand looking consistent without reinventing the wheel.

✅ Step 5: Schedule Everything (and Let It Work While You Don’t)

My secret weapons:✨ Tailwind for Pinterest✨ Metricool for all other platforms.

I load all my content into the scheduler, set the dates/times, and boom - it’s out of my hands. The best part? It frees up space to focus on engagement and lead generation instead of scrambling to post.

Bonus tip: Use your scheduler analytics to see what’s actually driving results, and let that inform your next batch. Data is your best marketing coach.

Why This Matters (and Why It Works)

Without a batching system, content creation feels like a daily decision. That constant switching drains your energy, leads to inconsistency, and keeps your marketing in reactive mode.

But when you shift into a strategy-driven system, everything changes:

  • You show up more consistently

  • Your content is more aligned and engaging

  • You free up brain space for the parts of business (and life) you actually enjoy

Want the Shortcut?

This system didn’t happen overnight. It’s the result of years of testing, tweaking, and figuring out how to make content work with my brain, not against it.

That’s why I created the Scattered to STRATEGIC Membership - to help other business owners finally feel confident in their content marketing.

Inside, you'll get:

  • A repeatable content strategy

  • Templates and systems that save you time

  • Weekly coaching calls to support you as you grow

  • A space where your marketing gets easier (and even fun)

✨ If you’re tired of feeling behind, scattered, or burnt out with your content... this is your sign to stop winging it and start showing up with purpose.

You don’t need more hustle. You need a system.

And batching your content? That’s the first step.
